Setting up the dominos…how Generative AI can enable the streamlining of reporting.
Every person in the Air Force has a series of interlinked personnel based activity reports that they are either required or optionally available to them relative to performance. These reports have an interlinked position in time and scope, each building from the previous, and supporting the next in the chain. A simple example would be personnel performance. At the end of the chain you could have a medal package for the award in the recognition of achievement, and you could follow that record of action that justified the achievement back through a series of documents each decreasing in scope and time, all the way down to the smallest and shortest form for weekly activity tracking.
It’s this baseline level that is of key interest. You can write once and copy many in any number of sequences, but any version of that fundamentally relies on someone to write something once somewhere to build everything from. This is the real issue and grind for any front line supervisor or high ops tempo personnel. Ask anyone with primary responsibility for an operational job, what is one of the most annoying and laborious tasks in their week, and invariably they say some version of reporting. Workers want to work, not learn the ever evolving prose, formatting, and style of organizational reporting up the chain.
Generative AI can help solve both of these parts of the reporting chain. The simple and obvious application is the writing and formatting of reports, narratives, and forms. The real trick comes to the much more crucial issue on individual initial reporting. Making it as simple as possible for the operations focused member to report their activities. Creating a voice interaction to drive a textual collaboration is the key. Start with a common series of interrogative questions given by an LLM to identify and extract maximum raw information from the individual via verbal input for text translation, that the LLM then distills into a common textual format for the individual to review and edit. This leans on all the advantages of the Generative AI technology and provides the easiest form of data output for the human interaction with the easiest to follow guardrails for maximum quality output.
Being able to provide simple and easy mass input by any personnel into a fully customizable organizational reporting flow is the key to gaining massive efficiency in any bureaucratic flow.
